Proximity Notifications on e-Reception Book Wallet (Apple Wallet Only)

Before you get started with e-Reception Book Wallet, you will need to set up your geofence proximity on the dashboard. To ensure accurate proximity, try to get as close to the iPad as possible on the map.

To setup proximity notifications for Apple Wallet, follow the steps below:


1) Click 'Settings' on the sidebar

2) Click Account

3) Go to 'Site Information' on that page

4) Input where you are on the map. Tap on the map to set the pin

5) Click Save, to keep that as your location

Important: Once you've saved your location, your proximity will automatically be set and you'll get a notification of your e-Reception Book Wallet when you're within range.




Activating e-Reception Book Wallet

As this feature uses Apple and Google Wallet technology, you will not be required to download any applications from the store.

Important: If you're using an iOS device, you must add the e-Reception Book Wallet from the ‘Add to Apple Wallet’ box. If you're using Android, you must click ‘Add to Google Wallet’ box on the email.



Generate Your Staff Pass Email


If you wish to give Apple / Google Wallet access to your staff members, please follow the steps below

1) Open the My Employees tab on your e-Reception Book Dashboard

2) Select the employees using the tick boxes of all employees you would like to use
Wallet

3) Select 'Actions' on the dark blue button at the top

4) Select 'Send QRs to Email'

All selected employees will receive their staff pass email which includes Apple & Google Wallet buttons at the bottom of the email. Please see the videos in the next section once you have received the staff pass email.


How to Enable Your Pass


iOS (iPhone)

If you're using an iOS device:

1) Open the email you receive and tap on the 'Add to Apple Wallet' button

2) Tap 'Add' on the top right-hand side of the screen

Android

If you are using Android, see the steps below:

1) Open the email you receive and tap on the 'Add to Google Wallet' button

2) Tap 'Add Pass' on the screen

How to use e-Reception Book Wallet

Once your e-Reception Book Wallet has been downloaded, please see the steps below:

iOS (Apple)

Apple wallet can use location to automatically show your visitor/staff pass when you arrive.


1) When you are in close proximity to the iPad device, your pass will automatically show as a notification on your iPhone.

2) Tap on the notification and your e-Reception Book pass will appear. This will include a QR code to enable quick check-in.


3) Hold your phone with the QR code up, towards the iPad camera to check in and out.


4) The iPad screen will change to let you know you have checked in or out successfully.


Android

1) Once you have added your e-Reception Book pass to your Android wallet, go to the app called 'Wallet'.

2) Once you click on this and it will take you to all of your cards and passes in your wallet.

3) Click on your e-Reception Book Wallet and it will bring it up in full with the QR code.


4) Hold your phone with the QR code up, towards the iPad camera in the reception area to check in and out.

5) The iPad screen will change to let you know you have checked in or out successfully.


Types of e-Reception Book Wallet

  • Staff e-Reception Book Wallet

This is for staff members who are on-site and need to check in or out.

Details included:
- Staff Name

- Location of Site
- Staff Role

- QR Code

  • Pre-approved e-Reception Book Wallet

This is for visitors who have been pre-approved to visit the workplace on a regular basis. When the guest arrives, they can simply scan the QR code on their wallet pass with the iPad device to check-in.

Details included:
- Visitor Name

- Location of Site
- Visitor Type

- QR Code

  • Invitation e-Reception Book Wallet

This feature allows pre-registered visitors to check in and out with their e-Reception Book Wallet, at a specific time and date. The system will recognise the visitor when they arrive, which means they wouldn't need to re-enter their details and speeds up their check-in.

Details included:
- Visitor Name

- Location of Site
- Visitor Type

- Valid & Expiry Date

- QR Code

  • DBS e-Reception Book Wallet

This is for visitors/contractors who have been given a DBS number with an expiry date. If the visitor tries to check into your workplace after the DBS number has expired, it will notify them to speak to a member of staff.

Details included:
- Visitor Name

- Location of Site
- Visitor Type

- DBS Number

- DBS Valid Until Date

- QR Code




Customisation on e-Reception Book Wallet

The design of the e-reception Book Wallet cannot be altered for visitors or staff. However, information on the e-Reception Book wallet can be changed, for example, site location and role.

Once you update any information on an individual's e-Reception Book Wallet, it will need to be re-sent to the person who needs it to check in and they will need to re-download e-Reception Book Wallet to their device.


Licences available to use e-Reception Book Wallet

e-Reception Book wallet is available on all licences that include QR check-in and invites. You will not need to activate anything on the dashboard as the feature will be standard on all QR-featured emails.


Information about for e-Reception Book Wallet

  • Both e-Reception Book Wallet and the iPad work offline and online, so as long as the email is sent and received, you will be able to check in.

  • Each e-Reception Book Wallet can be used on multiple iPads at multiple sites if you have global employees set.

  • You will only be able to use the e-Reception Book Wallet if the email address for the visitor or staff member has been recorded on the dashboard to receive the email.
