Evacuation List & Permissions

Learn how to access the evacuation list, manage permissions, and use evacuation mode across the dashboard, iPad, and Companion App.

Overview

The Evacuation feature in Custr allows you to quickly determine the safety and whereabouts of everyone on-site during an emergency or drill.

This includes:

  • Visitors

  • Staff

  • Students (Education edition)

  • Residents (Care edition)

The system provides a real-time evacuation list, allowing designated personnel to:

  • View who is currently on-site

  • Mark individuals as safe

  • Track evacuation progress

  • Generate detailed evacuation reports

This helps ensure everyone is accounted for and supports health and safety compliance.

You can access and use this feature in all three areas of the Custr system:

  • The Online Dashboard

  • The Custr Companion App

  • The Custr iPad App


Where to access the evacuation list

The evacuation list is available across all parts of the Custr system:


Dashboard

  • Navigate to Dashboard → Evacuation View

  • Or click the fire icon at the top of the screen



iPad (Custr Check-In App)

  • Press and hold the centre of the welcome screen

  • Confirm the prompt to access evacuation mode



Companion App

  • Open the app

  • Tap the fire icon (bottom right corner)



Permissions and access

Access to the evacuation list is controlled by roles and permissions.

  • Admins always have access

  • Other users (e.g. reception or staff) must be granted permission



Evacuation view permission

To view the evacuation list on the dashboard or Companion App, users must have the Evacuation View permission enabled within their role.

If this permission is not enabled, the evacuation list will not be visible to that user.



How to enable access

  1. Go to Site → Roles & Permissions

  2. Select the relevant role

  3. Enable Evacuation View

  4. Save your changes

Once enabled, users will be able to access the evacuation list when logged in.



Important

  • The iPad evacuation mode is site-based and does not require user permissions

  • Permissions only apply to logged-in users (dashboard and Companion App)


Evacuation View

The evacuation view shows a live list of everyone currently signed in.

This is your real-time list of everyone currently signed in on site. During an emergency or drill, it provides an up-to-date view of:

  • Who is on-site

  • Their type (visitor, staff, resident, student)

  • Where they checked in

  • Check In information

This view can be accessed from any of the three platforms and is constantly updated (if devices are connected), ensuring accuracy at all times.


Evacuation Mode

This is the action-focused part of the feature. When an evacuation is needed, you can activate Evacuation Mode in one of two ways:

  • Evacuation Drill – For training or compliance testing

  • Emergency Evacuation – For real-life incidents

Once activated, the system allows you to:

  • Mark individuals as safe as they reach safety

  • View notes for specific people (e.g., PEEPs, needs assistance)

  • Record the time taken and overall progress


Evacuation Reports

After an evacuation, a detailed PDF report is automatically generated.

This report includes:

  • Start and end time of the evacuation

  • Duration of the drill or incident

  • List of all individuals present:

    • Visitors

    • Staff

    • Students (including late arrivals and early leavers)

    • Residents (Care edition)

  • Who was marked safe and who was not

  • Who marked individuals as safe

  • A completion percentage (e.g. % of people accounted for)


How to access reports

  1. Go to Dashboard → Reports

  2. Click Evacuation Reports

  3. Select the required evacuation

  4. Click Report

Reports can be printed for audits, compliance, and safety records


Printing the evacuation list

To print the current evacuation list:

  1. Go to Dashboard → Evacuation View

  2. Click Print List (bottom left corner)


Offline access

The evacuation list can be accessed on the iPad even if it is offline.

  • The iPad uses cached data

  • This allows you to continue using evacuation mode during a network outage

Important

  • The iPad will show the most recently synced data

  • The dashboard and Companion App will not update while offline

  • Changes will sync once the device reconnects



Important notes

  • The evacuation list only includes individuals currently signed in

  • Accuracy depends on the correct use of check-in and check-out processes

  • Offline mode may not reflect the latest activity across all devices

  • Permissions must be correctly configured for staff access
