Overview
The Automatic Check-Out & Check-In settings allow you to control when users are automatically:
Checked out
Checked back in (for offsite users)
This helps ensure your system always reflects an accurate, real-time view of who is on-site, while also reducing the need for manual check-outs.

How it works
You can configure automation in two ways:
At a set time
Runs at the same time every day
Best used for end-of-day clean-up
Example:
Automatically check out all visitors at 23:55
How to set a time
Go to Configuration → Settings
Select Automation
Choose the relevant setting (e.g. visitors, staff, students)
Select At a set time
Enter your preferred time
Changes will save automatically
After a duration
Runs after a set period from when the user checked in
Best used for limiting session length
Example:
Automatically check out staff after 8 hours (480 minutes)
How to set a duration
Go to Configuration → Settings
Select Automation
Choose the relevant setting
Select After a duration
Enter the duration
Changes will save automatically
Multi-site behaviour
If your organisation uses multiple locations, users can be signed in across different buildings.
When a user signs in at a different location:
They will not be automatically signed out of the previous location
The system treats each location independently
Important
Automatic check-out settings only apply within a single location
Signing in at another site does not trigger an automatic check-out
To ensure accurate records, use automation settings or manual check-out where required
Offsite reset (students and residents)
For students (Education) and residents (Care), the system includes an important behaviour:
Users who are marked as offsite can be automatically checked back in
This ensures:
They are not left marked as offsite overnight
The system is reset and ready for the next day
Evacuation lists remain accurate
Examples
A student leaves early at 1:00pm → automatically checked back in later that day
A resident goes offsite → automatically checked back in before the next day
Sixth form students (Education)
Sixth-form students can be automatically checked out using the automation settings.
This works in the same way as staff and visitors:
Students must already be checked in
The system will automatically check them out based on your configured time or duration
This is typically used to ensure sixth-form students are not left signed in at the end of the day.
Important
This setting only controls automatic check-out
Sixth form students must still be checked in manually (or via your normal check-in process)
There is no automatic check-in for sixth-form students
Important notes
Time-based settings run at the same time every day
Duration-based settings run from the time of check-in
Offsite reset ensures students and residents are not left marked as offsite overnight
Settings available may vary depending on your edition (Business, Education, Care)
Troubleshooting
User shows no check-in status
If a user appears with no check-in status on the dashboard, this is usually due to one of the following:
1. They were not successfully checked in
The check-in may not have been completed
The device may have been offline
2. Device not syncing
The iPad may not be connected to the internet
Data may not have synced to the dashboard
3. Automatic check-out has already run
The user may have been automatically checked out
This can happen if a time or duration has been reached
4. They checked in under a different category or location
Check if the user is visible under another site or category
