Express Check-In

Allow invited and pre-approved visitors to complete questions, documents, signatures, and safeguarding requirements before arriving on site.

Overview

Express Check-In allows visitors to complete parts of the check-in process before they arrive on site.

Instead of completing questions, reading documents, signing declarations, and providing information at reception, visitors can complete these steps in advance using a secure web link sent by email.


This can significantly reduce arrival times and improve the visitor experience, particularly for:

  • Regular visitors

  • Contractors

  • Agency staff

  • Health professionals

  • Interviewees

  • Pre-approved visitors

  • Invited visitors

Express Check-In is designed to work alongside your existing visitor check-in process and does not replace the final arrival check-in.



How Express Check-In Works

When Express Check-In is enabled for a visitor, they receive a secure link by email.

The visitor can then:

  • Review their details

  • Complete required questions

  • Read site documents

  • Sign declarations

  • Complete safeguarding requirements

  • Capture a photo (if required)

Once submitted, their responses are stored against their visitor record.


When the visitor arrives on site, they can complete the final check-in process without needing to repeat these steps.


Who Can Use Express Check-In?

Express Check-In is available for:

Standard walk-in visitors cannot complete Express Check-In because the system must already know who the visitor is before sending the secure link.



What Can Visitors Complete in Advance?

Depending on the category configuration, visitors may be asked to complete:


Questions

Examples include:

  • Vehicle registration

  • Company name

  • DBS information

  • Health declarations

  • Site-specific information

Documents

Visitors can review documents such as:

  • Health and safety policies

  • Site rules

  • Safeguarding guidance

  • Terms and conditions

Digital Signatures

Visitors can electronically sign documents before arriving on site.


Photo Capture

If photo capture is enabled, visitors can take a photo using their mobile device camera.

Photos captured through Express Check-In are stored against the visitor record in the same way as photos captured during a normal check-in.


What Happens When the Visitor Arrives?

Completing Express Check-In does not automatically check a visitor into site.

When they arrive, they must still complete a final check-in.


Visitors can do this by:

  • Searching for their name on the iPad

  • Scanning their invitation QR code

  • Using Contactless Check-In

  • Being checked in from the dashboard

If all required questions, documents, and signatures have already been completed through Express Check-In, the arrival process is significantly faster.



Express Check-In and Contactless Check-In

Although they are often used together, these are different features.


Express Check-In

Allows visitors to complete requirements before arriving on site.


Contactless Check-In

Allows visitors to use their own mobile device to check in when they arrive on site.

Many organisations use both features together to create the fastest possible visitor experience.



Express Check-In for Invited Visitors

When creating a visitor invitation, administrators can choose to send an Express Check-In link.


The visitor receives the invitation email and can complete the required information before arrival.



Express Check-In for Pre-Approved Visitors

Pre-approved visitors can also receive Express Check-In links, allowing them to complete any required information before attending site.


This is particularly useful for:

  • Contractors

  • Agency workers

  • Health professionals

  • Regular visitors

Important Notes

  • Express Check-In does not automatically check visitors into site.

  • Express Check-In is available for invited and pre-approved visitors.

  • Standard walk-in visitors cannot use Express Check-In.

  • Questions, documents, signatures, and photos can all be completed before arrival.

  • Visitors must still complete a final arrival check-in.

  • Express Check-In can be used alongside Contactless Check-In.

  • Visitor responses are stored against the visitor record and included in reporting.
