Visitor Invites

Learn how to create and edit visitor invites.

Overview

With the visitor invite feature, you can pre-schedule appointments or meetings and send automated invitation emails to your visitors.

These emails can be fully customised to include:

  • Meeting details (date, time, host, and location)

  • QR codes for fast, contactless check-in

  • Parking instructions and directions

  • Relevant policies, safety guidelines, or pre-visit forms

Using visitor invites ensures your guests have all the information they need before arriving, while your reception team can manage check-ins smoothly and efficiently. Templates allow for consistency across all communications, saving time and reducing administrative effort.


How to Create an Invite

There are two ways to load invites into the system, single entry and bulk import from CSV.

Single Entry

To create a single invite, follow the steps below:

  1. On your dashboard, navigate to Invites

  2. Click the + icon

  3. Select New Invite

  4. Enter the invite details, category, and visitor information

  5. Click Save

CSV Bulk Upload

To bulk upload invites, follow the steps below:

  1. On your dashboard, navigate to Invites

  2. Click the + icon

  3. Select Import Invites

  4. Select Invites

  5. Click Upload a File

  6. Upload your CSV file

  7. Review the invite details

  8. Click Import

The invited visitor will then receive an email that looks like the below:


How to Edit Invites

To edit an invite, follow the steps below:

  1. On your dashboard, navigate to Invites

  2. Click on the invite you want to edit

  3. Click Edit in the top right corner

  4. Make your changes and click Save


Invites vs Pre-Approved

  • Invite: A one-time visit for a set date and time (e.g., interviewee).

  • Pre-Approved: Ongoing visits allowed from a set date, with unlimited check-ins (e.g., regular contractors or family members visiting a care home).
