This article will explain the 'Branding' section on the e-Reception Book dashboard and how to use the different features. Read this article to learn more about editing and creating different sections of the main screen on the dashboard.


Branding Screen Overview

On the settings page of the e-Reception Book dashboard, you will find a section called “Branding”. This can be found by clicking "Settings" at the bottom of the left-hand sidebar, and then clicking "Branding" on the "Settings" page (See below).

On the "Branding" page, you'll find a row of four sections, each providing the ability to modify different aspects of the branding.

1) Colours

In the Colours section of the branding page, you can customise things like text colour, button colours, background colours, and shadow effects. Below the colour customisation options, you can also activate transparency mode, utilise colours for contactless check-ins, and enlarge app buttons for improved visibility.

These colour features allow you to make the e-Reception Book match your company's branding and personalise it how you want it to.

2) Device Wording

Device Wording allows you to edit the wording on the e-Reception Book screen when visitors are checking in and out.

The image below shows the wording that is currently being used for different sections of the check-in and check-out process.

For example, the top section shows the wording being used for the front screen of your e-Reception Book, which is the first screen visitors will see when they check in and check-out at your workplace. The wording can be customised fully to what you would like.

3) Assets

In the Assets section of the branding page, you can enhance your e-Reception Book's appearance by adding your company logo and personalising the background with images or videos that reflect your workplace. Additionally, this section enables you to upload essential health and safety documents.

This ensures that visitors have access to crucial information for a safe and informed check-in process, enhancing workplace safety and compliance.

4) Poster

The Poster section on the Branding Page allows you to add your text and print off a poster that visitors can scan to check in and check out without using the iPad. This may be ideal if you have multiple entrances and exit points at your workplace.


Colours

How to Edit Branding Colours

If you would like to edit the branding colours on your e-Reception Book, please follow the provided steps below:

Once you have done this, scroll back to the top of the branding page, and you will be able to see what the e-Reception Book front screen will look like with the new colour(s) you have added.

Underneath where you can edit branding colours, you will see 3 tick boxes which you can select or deselect.

Enable Transparency Mode

Before turning on the Enable Transparency Mode, your staff and offsite buttons will not be transparent and will be set to the colour you have chosen on the "Colours" page. Please see an example of this below:

Turning on the Enable Transparency Mode allows you to set the staff and offsite buttons in the top right corner of the e-Reception Book front screen to be transparent. When this box is ticked, the buttons will look like this:

Use Colours for Contactless Check-in

When you've set up contactless check-in for your e-Reception Book and select the 'Use Colours for Contactless Check-in' option, it will take the colour you've chosen for the check-in button and add it to your contactless check-in section. Here's an example to show this:


Expand App Buttons

Ticking the Expand App Buttons box allows you to make the Staff and Offsite buttons on the e-Reception Book front screen bigger so they are more visible to your visitors. When this box is ticked, the buttons will look like this:


Device Wording

The screenshot below provides an overview of the entire Device Wording section, where you can customise each section according to your preferences. We'll guide you through these editable parts, located on the Branding page.

This will help you understand the purpose of each section and where it is displayed on the e-Reception Book's main screen.

Welcome Message

The Welcome Message is used to greet visitors and give them directions on what to do next for their visit.

You can find the Welcome Message in the middle of the iPad's front screen, right below where it says "Welcome to (Company Name)." Alternatively, see the screenshot below to see where it is located:

Check-in Button Text / Check-out Button Text

These buttons allow visitors to check in via the e-Reception Book when they enter your workplace, and check out before they leave. The text for these buttons can be customised to what you would like, as well as the colour of the buttons (this can be done on the Colours section of the Branding page).

You will be able to find the Check-in Button / Check-out Button here on the iPad:

Front Screen Disclaimer

The Front Screen Disclaimer allows you to add legal or informational statements for visitors to read before checking in. This disclaimer is designed to inform visitors of certain terms, conditions, or policies related to using the system or accessing the facility's services.

It can also serve as a notice of agreement, outlining responsibilities and expectations, and may include information about privacy, security, liability, or other important matters that individuals should be aware of when using the e-Reception Book.

Check-in Message

The Check-in Message appears after a visitor has provided all the necessary details and completed their check-in process. You can personalise this message in the Device Wording section under "Check-in Message."

Once the check-in is finished, you'll find the Check-in Message displayed on the iPad here:

Check-out Message

The Check-out Message appears after a visitor has provided all the necessary details and completed their check-out process. You can personalise this message in the Device Wording section under "Check-out Message."

Once they have finished checking out, you'll find the Check-out Message displayed on the iPad here:

Feedback Message

The Feedback Message is a prompt displayed on the e-Reception Book that encourages visitors to provide their thoughts and feedback regarding their experience while at your workplace. This prompt will show during the check-out process after a visitor has input their name.

The Feedback Message can be found here when a visitor is checking out:

Email Field Disclaimer

When checking in, you have the option to add your email address, where you can also opt-in to communication from e-Reception Book.

Clicking this toggle will prompt the following pop-up, which you can customise in the Email Field Disclaimer text box on the Device Wording section of the Branding page. See an example of this below:

Invite Email QR Wording

This section allows you to link a QR code to the email notification sent to invitees regarding their visit. This QR code allows for a faster check-in process for invitees by simply scanning the QR code at the e-Reception Book in your reception area.

Custom Teacher/Class Field Text

This section allows you to edit the name of the teacher or the class name, when entering a pupil's details on the e-Reception Book. Please see the screenshot below for an example of where this is located:

Custom Offsite Button Text

The Custom Offsite Button Text feature allows you to modify the button text for students or residents located at the top right of the e-reception book's main screen. Please see the provided image below as an example:

Custom Leave Button Text


The Custom Leave Button Text feature allows you to customise the text displayed on the button in the top right corner (currently labelled "Leave Early"). Please refer to the screenshot below as a visual example:

Custom Late Button Text

The Custom Late Button Text feature allows you to customise the text displayed on the button in the top left corner (currently labelled "Late Arrival"). Please refer to the screenshot below as a visual example:

Evacuation App Title


The Evacuation App Title refers to the title displayed on the e-reception book's front screen when you activate the evacuation mode. You can find an example below for reference:

Evacuation App Subtitle

The "Evacuation App Subtitle" refers to the paragraph section displayed on the e-reception book's front screen when you activate the evacuation mode. You can find an example of this below:


Evacuation Notification Title

The Evacuation Notification Title is the top heading of the notifications you receive during a fire escape. For example, the image below shows the title "Evacuate The Site Immediately". This can be customised to what you would like.

Evacuation Notification Subtitle

The Evacuation Notification Subtitle is the subtext of the notifications you receive during a fire escape. For example, the image below shows the text underneath the main heading. Please find the screenshot provided below:


Assets

The screenshot below gives you a look at the entire Assets section found on the branding page. This is where you can make customisations to match your company's branding. This part of the guide helps you understand what each section does and where it shows up on the main screen of the e-Reception Book.

Site Logo

Site Logo lets you upload your company's logo to the main screen. After you've added your branding in the Site Logo section of the e-Reception Book dashboard, your branding will appear here:


Email Logo

The email logo is your company logo that will show on email notifications. This enables you to show a different logo on your email compared to your home screen. This is good if you have a white logo on the e-reception book home screen and a coloured logo on your emails for better visibility. Please see an example of this below:

Device Background Image

Device Background Image is the background of the e-Reception Book front screen. For example, the image below shows that the background for this front screen is of a large tower:

Device Background Video

Device Background Video is the background of the e-Reception Book front screen. For example, the video below shows that the background for this front screen is of a large tower. However, it is a video instead of an image:

Health & Safety Document

The "Health & Safety Document" feature enables you to upload company policies and documents that visitors must review and confirm before checking into your workplace.

Once you've uploaded a health & safety document within the Assets section of the Branding page, visitors will need to follow a process similar to the one demonstrated in the video below when they check-in:


Poster

Displayed in the image below is a snapshot of the Poster section located on the Branding page. Here, you can change the words on the poster that goes with your static QR codes.

This means you can tweak the message to match exactly what you want. Please keep reading to see which section edits which wording on the poster.

Poster Title


The top section of the branding page enables you to customise the poster's title. By default, the e-Reception Book dashboard displays 'Scan to Check-in' as the title, but you can easily edit it to your preferred wording (refer to the image below).

Poster Subtitle


The middle section of the branding page enables you to customise the poster's subtitle. This allows you to provide information such as instructions on how to use the poster.

By default, the e-Reception Book dashboard displays to Check-in, simply scan the QR code below with your smartphone camera' as the subtitle, but you can easily edit it to your preferred wording (refer to the image below).

Poster Body


The bottom section of the branding page enables you to customise the poster's body. This allows you to provide more in-depth information on how to use the poster.

By default, the e-Reception Book dashboard displays 'Follow the on-screen instructions to check-in. Thank you for your cooperation in following our safety requirements as the poster body, but you can easily edit it to your preferred wording (refer to the image below).
