Visitor & Staff Photo Capture

Capture visitor and staff photos during check-in and check-out to improve identification, safeguarding, and evacuation visibility.

Overview

The Visitor & Staff Photo Capture feature allows Custr to capture photos during the check-in and check-out process.

These photos are securely stored alongside each record and can be viewed throughout the platform, including within the Evacuation View.

Photo capture helps organisations:

  • Improve site security

  • Strengthen safeguarding procedures

  • Support audits and investigations

  • Improve identification during evacuations

  • Maintain accurate visual records of who is on-site

Captured photos can be displayed:

  • On the dashboard

  • Within visitor and staff records

  • In the Evacuation View during drills or emergencies


How Photo Capture Works

Photo capture can be enabled separately for:

  • Visitors

  • Staff

Visitor photo capture is controlled at:

  • System level

  • Category level

Staff photo capture is controlled through Staff settings.


How to Enable Visitor Photo Capture

Before visitor photos can be used, the feature must first be enabled first.

To enable Visitor Photo Capture:

  1. Go to Configuration > Settings

  2. Select Features

  3. Enable Visitor Photo

Once enabled, photo capture can then be assigned to individual visitor categories.


How to Enable Photo Capture for Visitor Categories

After enabling the feature globally, you can choose which visitor categories require photos during check-in.

To enable photo capture for a visitor category:

  1. Go to Configuration > Categories

  2. Select the required category

  3. Enable Photo Capture on Check-In

  4. Click Save

Only visitors checking in under categories with photo capture enabled will be asked to take a photo.


How to Enable Staff Photo Capture

Staff photo capture can be enabled separately for:

  • Staff check-in photos

  • Staff check-out photos

To enable staff photo capture:

  1. Go to Configuration > Settings

  2. Select Staff

  3. Enable:

    • Enable Staff Photo In

    • Enable Staff Photo Out

Once enabled, staff will be prompted to take a photo during the selected stages of the check-in process.


How to View Captured Photos

Once a photo has been captured, it will appear alongside the individual’s record within the dashboard.

To view a captured photo:

  1. Select the visitor or staff record on the dashboard

  2. The individual’s details and photo will appear on the right-hand side

Photos may also appear within:

  • Evacuation View

  • Reports

  • Historical check-in records


Using Photos in Evacuation View

Captured photos are displayed within the Evacuation View to help staff quickly identify individuals during:

  • Fire drills

  • Emergency evacuations

  • Site lockdowns

  • Roll calls

This can help improve evacuation speed and accuracy, particularly for:

  • Visitors unfamiliar to staff

  • Contractors

  • Temporary staff

  • Large sites or multi-building environments


Important Notes

  • Visitor photo capture must first be enabled in Features before it can be assigned to categories

  • Visitor photo capture is configured per category

  • Staff photo capture is configured separately from visitor photo capture

  • Photos are securely stored alongside check-in records

  • Photo capture can be enabled for check-in, check-out, or both depending on configuration
