e-Reception Book Dashboard

The e-Reception Book dashboard is an online tool that enables you to effortlessly monitor on-site presence in real time.

It offers a searchable record of visitor and staff check-ins. Additionally, the dashboard allows you to personalise your branding, tailor your e-Reception Book check-in processes, and activate extra features.

With e-Reception Book, you have various options for checking in visitors and staff, enabling you to select the methods that best suit your workplace.


1) Log Into e-Reception Book Dashboard

To get started on using your e-Reception Book, you will need to log into the dashboard at https://dashboard.ereceptionbook.com/login with the supplied email address and password.

If you're unable to access the dashboard with the details provided, please contact us immediately on Live Chat.


2) Download the e-Reception Book App

Once your iPad has arrived, you will need to download the e-Reception Book app on the iPad device. Please follow the steps below to download the e-Reception Book app:

1. On the iPad, tap on the 'App Store' icon.

2. Search for 'e-Reception Book - Visitor App’.

3. To download, click the 'Get' button underneath 'e-Reception Book - Visitor App’.

Important: To download apps from the App Store on iPads, you must sign in with an Apple ID. If not signed in, use an existing Apple ID or create a new one before downloading the app.


3) Connect your iPad Device to the Dashboard

To connect your iPad device to the e-Reception Book dashboard, please follow the steps provided below:

Once you have completed these steps, you will see a pop-up that provides an access code on the e-Reception Book dashboard (see example of this below).

From here, you need to open the e-Reception Book app on the iPad device and enter the code provided. The iPad screen will look like the following:


4) Enable Guided Access

To prevent visitors from exiting the e-Reception Book app, you can set up Guided Access, which means a passcode has to be entered to leave the app.

Please follow the steps provided below to turn on Guided Access:


1. On the iPad, Go to Settings > Accessibility, then turn on Guided Access.

If you’re using iOS version 12.1.1 or above, you will want to mark Display Auto-Lock as default.

2. Under Guided Access, set Display Auto-Lock as default:


When this is on: Guided Access will mirror the Auto-Lock setting in Display & Brightness.


When this is off: Guided Access will turn off the screen after 20 minutes of inactivity.

3. Whilst guided access is enabled, open the e-Reception Book app and triple-click the home button to start guided access and press 'Start' in the top right corner.


4. Once you've done this, enter a passcode that your whole team will know/remember.


5) Download the Companion app

The Companion app is a mobile application that provides employees with the capabilities of e-Reception Book directly on their smartphones.

e-Reception Book Companion app is free to download and is available on both Apple's App Store and Google's Play Store.

Apple

If you would like to download the companion app on your iPhone, please follow the steps provided below:

1. Open the "App Store".

2. Search for “Companion by e-Reception Book”.

Once searched, you should see the following below. Please click on this:

3. You will see a box underneath “Companion by e-Reception Book” that says "Get". Click on this to download. (You will find this where it says "Open" in the example provided below).

Android

If you would like to download the companion app on your Android phone, please follow the steps provided below:

1. Open the "Google Play Store".

2. Search for “Companion by e-Reception Book”.

Once searched, you should see the following below. Please click on this:

3. You will see a box underneath “Companion by e-Reception Book” that says "Install". Click on this to download. (You will find this where it says "Uninstall" and "Open" in the example provided below).

This feature is available for the Professional, Education and Care edition licenses ONLY.


6) Connect your Label Printer

e-Reception Book allows you to print visitor badges, including your company logo, visitor name, and other contact details.

Please follow the steps below to connect e-Reception Book and start using a label printer if you wish to use label printing.

Before starting the below please make sure your printer is connected to the same WiFi as the iPad, you can find a user manual below for our supported printer.

e-Reception Book supports the following label printer:

  • Brother QL-820NWB (Bluetooth & IP printing) (User Manual)

    • with standard label size as 62mm x 100mm

1) Turn on Label Printing

To begin the setup process, start by enabling label printing on the e-Reception Book dashboard. Please follow the steps provided below:

2) Connect the Label Printer to the iPad

Bluetooth

Bluetooth allows for wireless printing between an Apple device, such as iPhone, iPad, or Mac, to an enabled printer.

IP Address

If you would like to pair your label printer to the e-Reception Book through IP Address, please follow the steps provided below:

Once you have done the steps in the IP Address video, please continue with the following steps:

Once you have completed the steps above, you will see a white printer icon in the top left of your screen on the iPad (see image below). This shows that the printer is connected to your e-Reception Book and can now be used.

We recommend pairing your label printer through IP Address for a secure connection and to avoid signal loss between the label printer and iPad.

3) Create or use the Default label

If you then go to Labels from here you can either create your own label and save it or keep the default label already created.

To access the default labels already created for you, please click 'Labels' on the left-hand sidebar of the e-Reception Book dashboard (see image below):

To create your own label, please follow the steps provided below:

4) Allocate Labels to Categories

Once you have created labels for your visitors to use when checking in, you have the option to allocate different labels to different categories. If you would like to do this, please follow the steps we have provided below:


7) How to Give Employees Account Access

If you would like to provide your employees with access to the e-Reception Book dashboard, please follow the steps outlined below:

The confirmation email will look similar to the example provided below, the staff member will need to follow the steps in the video to validate their access.
