Overview
Residents are managed differently to visitors and staff within Custr.
Unlike visitors and staff, residents are considered to be on-site by default.
This means residents automatically appear on the evacuation view unless they have been checked out.
When a resident leaves the site, they should be checked out.
When they return, they should be checked back in.
This allows care providers to maintain an accurate record of which residents are currently on-site and which residents are off-site.
How Resident Movement Works
Resident check-in and check-out is used to track resident movements throughout the day.
Residents Are On-Site by Default
Once a resident has been added to the Residents Directory, they are considered on-site unless they are checked out.
There is no requirement for residents to check in at the start of each day.
Leaving Site
When a resident leaves the site, they should be checked out.
Common reasons include:
Family visits
Medical appointments
Hospital visits
Walks and fresh air
Community activities
Day trips
Returning to Site
When a resident returns, they should be checked back in.
This updates the resident’s status and returns them to the on-site resident list.

Where Can Residents Be Checked In and Out?
Residents can be checked in and out using:
iPad Check-In Device
The resident workflow can be accessed from the dedicated Residents button on the iPad.
Dashboard
Administrators can also check residents in and out directly from the dashboard.
Residents do not currently use:
Companion App
RFID tags
QR codes
How to Check a Resident Out
To check a resident out:
Navigate to the iPad or Dashboard
Select Residents
Locate the resident
Select Check Out
Enter any optional information if required
Confirm the action
The resident will now be marked as off-site.
How to Check a Resident Back In
When a resident returns:
Locate the resident on the iPad or Dashboard
Select Check In
Confirm the action
The resident will now be marked as on-site.
Recording Additional Information
During the resident check-out process, organisations can capture additional information.
Examples include:
Reason for leaving
Who the resident is leaving with
Additional notes
This information can be configured by the site and may be presented as:
Free-text fields
Predefined options
Additional resident questions
Some organisations use this to record:
Family members accompanying residents
Transport arrangements
Appointment details
Destination information
Resident Exact Match
Resident Exact Match helps ensure resident movements are always linked to the correct resident record.
When disabled:
Staff can enter resident names manually
Residents can be checked in and out using free-text entries
When enabled:
Residents must be matched to an existing resident record
Free-text entries are not allowed
Resident movements are always linked to a known resident
This helps reduce duplicate records and improves reporting accuracy.
How to Enable Resident Exact Match
Navigate to Configuration > Settings
Select the Residents tab
Enable Resident Exact Match
Wait for the system to Auto Save
Resident Exact Match is recommended for organisations that maintain a Residents Directory.
Residents and the Evacuation View
Resident movements are directly linked to the evacuation view.
Residents Checked In
Residents who are checked in:
Appear within the on-site resident list
Are included in evacuation procedures
Count towards on-site occupancy
Residents Checked Out
Residents who are checked out:
Appear within the off-site resident list
Remain visible during evacuation procedures
Are clearly identified as off-site
This provides staff with an accurate view of resident locations during an emergency.
Residents and PEEPs
Residents can have a Personal Emergency Evacuation Plan (PEEP) assigned.
When a resident has a PEEP:
A PEEP indicator is displayed within the evacuation workflow
Staff can view the resident’s PEEP level
Staff can open the resident record from the evacuation view
The full PEEP plan can be reviewed when required
This information can be used to support emergency responders and evacuation teams.

Resident Activity History
Resident movements are recorded automatically.
This information can be viewed from the resident’s Activity tab.
The activity history includes:
Resident check-ins
Resident check-outs
Visitor activity associated with the resident
This provides a complete record of resident movements and interactions.
Common Issues
I Can’t Find a Resident
If a resident cannot be found:
Check that they have been added to the Residents Directory
Search using the resident’s name
Confirm the resident has not been archived
A Resident Is Showing On-Site but Has Left
If a resident appears on-site after leaving:
Check that they were checked out correctly
Review their activity history
Update their status if required
A Resident Cannot Be Checked Out
If Resident Exact Match is enabled:
Ensure the resident exists within the Residents Directory
Verify the correct resident record is being selected
