Overview
The Global Directory allows Global Administrators to manage employees across every site within their organisation from a single location.
Instead of maintaining separate employee records at each site, Global Employees have one shared profile that can be linked to multiple locations.
From the Global Directory you can:
Create new Global Employees
Search and manage employee records
Assign employees to multiple sites
Manage dashboard account access
Set global permissions
Perform bulk actions across multiple employees
Note: Only Global Employees appear in the Global Directory. Site-only employees continue to be managed from within their individual site.
Opening the Global Directory
Sign in to the Dashboard.
Open Global.
Select Directory > Employees.
You’ll see a list of every Global Employee within your organisation, along with their permissions and the sites they belong to.
Searching for Employees
Use the search box to quickly locate an employee.
You can search by:
Name
Email address
Phone number
Search results update automatically as you type.
Understanding the Employee List
Each employee record displays useful information at a glance, including:
Employee name
Email address
Global permission level
Sites they belong to
Site roles
Current check-in status where applicable
This provides a quick overview without needing to open each employee record individually.
Creating a Global Employee
To create a new Global Employee:
Select Create Employee.
Enter the employee’s details.
Add an email address (required).
Optionally enter:
Phone number
Vehicle registration
Generate or enter a QR Code.
If required, enable Account Access.
Select the appropriate dashboard role.
Choose the employee’s Global Permission.
Save the employee.
The employee will become a Global Employee and can then be assigned to one or more sites.
Global Permissions
When creating or editing a Global Employee, you can choose one of three permission levels.
Global Employee
A standard Global Employee.
Their employee record is shared across multiple sites but they do not receive access to the Global Dashboard.
Global Overview
Provides read-only access to the Global Dashboard.
Users can view global information without being able to make configuration changes.
Global Admin
Provides full access to the Global Dashboard.
Global Administrators can manage employees, reports, settings and other global features across the organisation.
Managing Site Membership
Every Global Employee can belong to multiple sites.
When editing an employee, simply tick or untick the sites they should belong to.
Removing a site immediately removes the employee from that location while keeping their shared Global Employee record intact.
Dashboard Account Access
Employees do not automatically receive access to the Dashboard.
If required, enable Account Access when creating or editing the employee.
Once enabled, you can assign their dashboard role.
Account access is managed separately from their Global Permission level.
Bulk Actions
Select one or more employees to perform actions across multiple records at the same time.
Available bulk actions include:
Add selected employees to all sites
Set Role to Admin
Set Role to Employee
Enable Account Access
Download QR Codes
Delete selected employees
Bulk actions help manage large employee groups quickly without editing each employee individually.
Editing an Employee
Select an employee to update their information.
You can edit details including:
Name
Email address
Phone number
Vehicle registration
QR Code
Account Access
Global Permission
Assigned sites
Changes are reflected across every site the employee belongs to.
Deleting a Global Employee
Deleting a Global Employee permanently removes their shared employee record.
Because the record is shared across multiple sites, deleting it removes the employee from every linked site within your organisation.
Warning: This action cannot be undone.
