Staff QR Codes

Allow staff to check in and out quickly using unique QR codes for a fast, contactless experience.


Overview

The Staff QR Codes feature allows employees to check in and out by scanning a unique QR code on the iPad.

This provides a:

  • Fast check-in experience

  • Contactless process

  • Secure way to identify staff

Each QR code is unique to the individual and can be used for both check-in and check-out.


How staff QR codes work

  • Staff receive a QR code (via email or download)

  • They present it to the iPad camera

  • The system recognises them instantly

  • Check-in or check-out is completed automatically


Generating QR codes

You can generate QR codes for:

  • A single staff member

  • Multiple staff members

  • All staff


Single staff member

  1. Go to Directory → Employees

  2. Click the three dots next to the staff member

  3. Click Generate QR

  4. Click Generate



Multiple or all staff

  1. Go to Directory → Employees

  2. Click the three dots next to a staff member

  3. Click Select

  4. Select additional staff (or Select All)

  5. Click Generate QR Codes


Downloading QR codes

Single staff member

To download a QR code for an individual staff member, follow the steps below:

  1. Go to Directory → Employees

  2. Click the three dots next to the staff member

  3. Click Download QR Code

The file will appear in your Notifications section.


Multiple or all staff

  1. Go to Directory → Employees

  2. Click the three dots and select staff

  3. Click Download QR Codes


Sending QR codes to staff

Single staff member

  1. Go to Directory → Employees

  2. Click the three dots next to the staff member

  3. Click Send QR Code



Multiple or all staff

  1. Go to Directory → Employees

  2. Select multiple staff (or Select All)

  3. Click Send QR Codes

Staff will receive an email containing their QR code.


Using staff QR codes

Once received, staff can:

  • Present their QR code to the iPad camera

  • Be automatically checked in or out

This works for both check-in and check-out.



Important notes

  • Each QR code is unique to the individual

  • QR codes can be saved on a phone or printed

  • The iPad must have QR scanning enabled to use this feature

  • Staff must already exist in your directory
