Overview
Staff QR Codes provide a fast and secure way for employees to check in and out without typing their name.
Each employee is assigned a unique QR code, which can be scanned by the iPad camera to automatically identify them and complete the check-in or check-out process.
Staff QR Codes are commonly used to:
Speed up employee attendance
Reduce queues during busy periods
Eliminate name searching
Support contactless staff check-in
Improve attendance accuracy
Each QR code is unique to the employee and can be used for both check-in and check-out.
Staff QR Codes vs Contactless Check-In
Custr supports two different QR code workflows.
Staff QR Codes
The QR code belongs to the employee.
Employees present their QR code to the iPad camera and the system automatically identifies them.
The QR code can be:
Printed
Saved on a mobile device
Emailed to the employee
Viewed within the Companion App
Contactless Check-In
The QR code belongs to the site.
Visitors scan the QR code to complete visitor check-in on their own device.
Employees can also scan Contactless QR Codes using the Companion App to record attendance.
See: Contactless Check-In
How Staff QR Codes Work
The employee presents their QR code to the iPad camera.
The system automatically:
Identifies the employee
Starts the staff check-in or check-out process
Applies any configured questions
Applies any configured photo capture requirements
Using a QR code does not bypass your normal staff workflow.
Any mandatory questions, photos, or check-out requirements will still be shown.
Employee QR Codes
New employees are automatically assigned a unique QR code when they are created.
This means most employees already have a QR code available, even if it has never been downloaded or sent to them.
Some older employee records may not have a QR code if they were created before QR codes were automatically assigned.
In these cases, a QR code can be generated manually.
Generating a New QR Code
Generating a QR code creates a brand new QR code for the employee.
If the employee already has a QR code:
The previous QR code becomes invalid
A new QR code is created immediately
This can be useful if:
A QR code has been lost
A QR code has been shared accidentally
You want to replace an existing QR code

Viewing QR Codes in the Companion App
Employees with Account Access can view their assigned QR code within the Companion App.
This allows them to:
Present their QR code directly from their phone
Avoid printing a physical copy
Always have access to their QR code
Employees do not need Account Access for their QR code to work.
However, Account Access is required to view the QR code within the Companion App.
See: What is Account Access?
QR Code Scanning Settings
Staff QR Code scanning can be enabled through the iPad settings.
Navigate to:
Configuration > Settings > Features > QR
Available options include:
Staff QR Camera
Displays a QR scanner within the Staff sign-in screen.
Always-On QR Scanning
Allows the iPad to continuously scan for QR codes from the home screen without requiring users to enter a check-in area first.
This can make staff and visitor check-in even faster.
Please ensure camera permissions are enabled on the iPad for QR scanning to function correctly.
Using Staff QR Codes
Once an employee has access to their QR code, they can:
Present the QR code to the iPad camera
Be automatically identified
Complete any required questions or photo capture steps
Check in or check out
This works for both check-in and check-out.
Troubleshooting Lost or Shared QR Codes
If an employee loses their QR code, or if a QR code has been shared with another person, generate a new QR code.
Creating a new QR code automatically invalidates the previous QR code.
This ensures only the latest QR code can be used.
Benefits of Staff QR Codes
Staff QR Codes can help organisations:
Speed up attendance recording
Reduce reception queues
Improve attendance accuracy
Support contactless sign-in
Eliminate name searching
Simplify staff check-in and check-out
