Staff Offsite

Allow staff to mark themselves as working offsite while maintaining visibility, safeguarding, and evacuation awareness across the Custr platform.

Overview

The Staff Offsite Working feature allows employees to indicate that they are working away from the site while still remaining visible within the system.

This is commonly used for:

  • External meetings

  • Remote working

  • Swimming trips

  • Resident appointments

  • Shopping trips

  • Hospital visits

  • Multi-site working

  • Temporary offsite visits during the working day

When a staff member is marked as offsite:

  • Their status changes to Offsite

  • They remain visible within the Staff list

  • They are excluded from on-site totals

  • Their status is visible within the Evacuation View

This helps organisations maintain:

  • Safeguarding visibility

  • Accurate staff movement records

  • Evacuation awareness

  • Lone worker visibility

  • Operational accountability

The feature is available on:

  • Professional Edition

  • Education Edition

  • Care Edition


Offsite vs Checked Out

It is important to understand the difference between an employee being marked as Offsite and being fully Checked Out.

Status

Meaning

Offsite

Staff member is still working as part of the organisation but temporarily away from site

Checked Out

Staff member has fully left for the day and is no longer active within the system

Offsite staff:

  • Still appear in the Staff list

  • Still appear in the Evacuation View

  • Show an Offsite status

  • Are excluded from live on-site totals


How to Enable Staff Offsite Working

The Staff Offsite Working feature must first be enabled within your site settings.

To enable the feature:

  1. Go to Configuration > Settings

  2. Select Staff

  3. Enable Enable Staff Offsite Working

  4. Wait for the system to autosave

Once enabled, the permission can then be assigned to staff roles.


How to Enable Offsite Working for Staff Roles

Staff Offsite Working is controlled through Roles & Permissions.

To enable the permission for a role:

  1. Go to Sites

  2. Select Roles & Permissions

  3. Select the required role

  4. Enable Staff Offsite Working

Any user assigned to that role will then be able to use the Offsite Working feature.


How to Add Offsite Reasons

Offsite reasons allow staff to record why they are working away from site.

Common examples include:

  • Remote working

  • Swimming trip

  • Hospital appointment

  • Meeting

  • Home visit

  • Shopping trip

To add offsite reasons:

  1. Go to Configuration > Settings

  2. Select Staff

  3. Select Offsite Reasons

  4. Enter the reason

  5. Click Add Reason


Using MIS Integration (Education Edition)

When students are added to a staff offsite checkout:

  • This does not create a student late/early record within the MIS

  • The offsite reason is linked to the staff member rather than the student

This feature is designed primarily for:

  • Safeguarding visibility

  • Group movement tracking

  • Operational awareness

rather than student attendance writeback.

Offsite reasons are created and managed directly within Custr.


How Staff Check Out as Offsite

Staff can mark themselves as offsite from:

  • The iPad

  • The dashboard

  • The Companion App (where access is enabled)

To check out as offsite from the iPad:

  1. Select Staff

  2. Enter your name, scan your QR code, or tap your RFID fob

  3. Select I’m Working Offsite

  4. Select an offsite reason

  5. Choose whether you will be returning the same day

  6. Add any accompanying students or residents if required

  7. Click Continue

Once completed:

  • The staff member’s status will update to Offsite

  • Their dashboard record will display the Offsite status

  • They will remain visible within the Evacuation View


Returning Today — What This Means

When checking out as offsite, staff will be asked whether they are returning the same day.

Yes

This indicates the staff member plans to return later in the day.

  • Their record will show they are expected to return

  • Automatic end-of-day checkout will not apply

No

This indicates the staff member will not return that day.

  • The user will be automatically checked out using the normal automation settings configured for the site


Adding Students or Residents to Offsite Checkouts

Staff can optionally add students or residents when checking out as offsite.

This is commonly used when:

  • Teachers leave site with students

  • Residents attend appointments

  • Residents go shopping with staff

  • Students attend swimming trips or activities

This feature helps:

  • Speed up the checkout process

  • Keep related movements grouped together

  • Improve safeguarding visibility

If no students or residents exist within the system, this step will be skipped automatically


How to Return from Offsite

To return from offsite:

  1. Select Staff

  2. Enter your name, scan your QR code, or tap your RFID fob

  3. Select I’m Returning from Offsite

  4. Check any accompanying individuals back in if required

Once completed:

  • The staff member status will update to Checked In

  • The record will return to normal on-site visibility


Important Behaviour When Returning

If accompanying students or residents are not checked back in:

  • They will remain linked to the offsite record

  • The system will continue to assume they are still offsite

These individuals will automatically appear again during future offsite checkouts until they are checked back in.


How Offsite Staff Appear in Evacuation View

Offsite staff remain visible within the Evacuation View to maintain safeguarding and operational awareness.

Dashboard

Within the dashboard Evacuation View:

  • Staff remain visible within the Staff tab

  • Their status will show:

    • Offsite

    • or Offsite since…

iPad

Within the iPad evacuation view:

  • Offsite staff remain visible within the Staff tab

  • Their status column will display Offsite


Important Notes

  • Staff Offsite Working is designed primarily for same-day operational movement

  • Offsite staff remain visible in Evacuation View

  • Offsite staff are excluded from live on-site totals

  • Staff can return from offsite using any device linked to the same site

  • Automatic end-of-day checkout follows the normal Automation settings configured for the site

  • Staff must first return from Offsite before completing a normal check-out from the iPad
