Sixth Form Students

Overview

This article explains the Sixth Form feature available on your Custr dashboard. It allows sixth form students to check in and out using a variety of methods, including iPad devices, RFID fobs, or QR codes.

This feature is included at no additional cost with your existing Custr Check-In licence and can be easily activated from the settings page.



How to Enable Sixth Form for your Site

To enable the sixth-form feature for your site, follow the steps below:

  1. On your dashboard, navigate to Configuration > Settings

  2. Click Features

  3. Tick Enable Sixth Form Management.

Once ticked and saved, you will notice a Sixth Form tab under your directory of students, indicating that this feature is now live. Please see an example of this below:


How to Add a Sixth Form Student

To add a sixth form student, follow the steps below:

  1. On your dashboard, navigate to Directory > Students

  2. Select the Sixth Form tab

  3. Click the + icon

  4. Click New Sixth Form

  5. Enter the sixth form students details

  6. Click Save

Once successful, the sixth-form student will appear in the directory list on your dashboard. Please see an example of this below:



How to Import Sixth Form Students

If you would like to import sixth-form students into your Custr dashboard, please follow the steps below:

  1. On your dashboard, navigate to Directory > Students

  2. Select the Sixth Form tab

  3. Click the + icon

  4. Select Import Sixth Form

  5. Click Upload a file and upload your CSV file

Once imported, this will automatically add the sixth-form students to the list. Please see an example of this below:

Please note: If you have MIS integration, your sixth form students will not be automatically added to the correct list. You will need to import them manually by following the steps outlined above.



How to mark Students as Sixth Form

If you already have students loaded into Custr and would like to mark them as sixth form students on your dashboard, follow the steps below:

  1. On your dashboard, navigate to Directory > Students

  2. Click the circle with initials next to the students name to open selection mode

  3. Select the students you wish to assign to sixth form

  4. Click Convert Students to Sixth Form on the right hand side



Assigning RFID fobs to Sixth Form Students

Once your RFID reader has been connected to Custr, follow the steps below to assign a RFID fob to a Sixth Form Student:

  1. Tap a new fob against your RFID reader, you should hear a sound confirming that the fob has been read

  2. The iPad will then prompt you to enter the name of the sixth-form student you would like to assign the fob to

  3. To confirm the fob assignment, tab the fob against the reader

Please note: You can assign multiple fobs and access cards to a single sixth form student. Simply repeat the steps above for each fob or card you wish to assign.

Once all fobs have been assigned, you will be able to view who is paired with a fob or card on your Custr dashboard underneath an individual sixth form student's name in the 'Students' section.


How to Download a QR code for Sixth Form Students

Single sixth form student

To download QR codes for a sixth form student, follow the steps below:

  1. On your dashboard, navigate to Directory > Students

  2. Select the Sixth Form tab

  3. Click the circle with initials next to the students name

  4. Click Download QR Codes on the right hand side

  5. Once the download is ready, it will be found in the Notification section at the top of your dashboard


​Multiple sixth form students

To download multiple sixth form student's QR codes, follow these steps:

  1. On your dashboard, navigate to Directory > Students

  2. Select the Sixth Form tab

  3. Click the circle with initials next to the students name to open selection mode

  4. Select your chosen Sixth Form students

  5. Click Download QR Codes on the right hand side


How Sixth Form Students Check In/Out

We provide sixth-form students with various methods to check in and out, see below the different methods and the simple steps for students to follow:

On the iPad Device

Students can check in and out on the iPad, following the steps below:

  1. On the iPad device, tap the Students button (this may be named differently on your iPad if the field name has been changed from the dashboard).

  2. The student will then type in their name and their student record will appear with a 'Sixth Form' label next to the name

  3. Press the check-in or check out button on the screen

Once this has been completed, the sixth form student’s record will appear under "Today's Students" on the dashboard, showing an "Offsite" label after they have checked out, or a "Checked In" label once they have returned.

With an RFID Fob or Card

Sixth form students can check in and out using their RFID by following the steps below:

  1. Hold the RFID fob to the reader

  2. ​Wait for the confirmation beep or visual indicator to signal successful check-in/out (the green light will turn red)

  3. Once you have done this, the iPad will show the following screen, indicating that the student has successfully checked in using RFID:


Once this has been completed, the sixth form student’s record will appear under "Today's Students" on the dashboard, showing an "Offsite" label after they have checked out, or a "Checked In" label once they have returned.

Please note: If a sixth form student is checked out and does not return before the site end time (as set in the dashboard), they will be automatically checked out.


With QR Codes

Students can check in and out on the iPad via QR codes, by following the steps below:

  1. On the iPad, tap the Students button (this may be named differently on your iPad if the field name has been changed from the dashboard)

  2. Hold the QR code on your phone within the scanning area on the iPad to complete the scan

  3. Once scanned, click check-in/check-out

Once this has been completed, the sixth form student’s record will appear under "Today's Students" on the dashboard, showing an "Offsite" label after they have checked out, or a "Checked In" label once they have returned.

Please note: If a sixth form student is checked out and does not return before the site end time, set from the dashboard, they will automatically be checked out.



QR Codes (Constant QR scanning)

If you would like sixth form students to have the option to check in using their QR code via the constant camera on the Custr app, follow the steps below:

  1. Hold the QR code on your phone up to the iPad camera

  2. Wait for the iPad to scan the QR code and check the sixth form student in


How to Create a Report for Sixth Form Students

To generate a report for your sixth form students, follow the steps below:

  1. On your dashboard, navigate to Dashboard > Reports

  2. Click + New Report

  3. Select Sixth Form Check-in

  4. Click Save

How Sixth Form Students Appear on the Evacuation View

This section explains how sixth form students are displayed on the evacuation view list in both the Custr dashboard and the Custr iPad app.

Dashboard

To see how students show on the evacuation view on the dashboard, follow the steps below:

  1. On your dashboard, navigate to Home > Evacuation View

  2. Click Students in to see a list of all students currently on site

Custr iPad app

To see how students show on the evacuation view on the Custr iPad app, follow the steps below:

  1. On the Custr iPad app, hold down on the centre of the "Welcome to..." message

  2. Click Yes, i'm sure from the pop-up

  3. Select the Students tab to see a list of students currently on site


​Custr Companion app

To see how students show on the evacuation view on the Custr Companion app, follow the steps below:

  1. On the Custr Companion app, tap the fire icon located at the bottom right

  2. Select the site you want to view the evacuation list for.

  3. Tap the Students tab to view a list of all students currently on site.
