Learn about the different types of email notifications sent in Custr and when they are triggered.

Overview

Custr sends email notifications to keep staff and visitors informed about activity across your site.

These notifications are triggered automatically based on events such as check-ins, check-outs, and invitations.

Email notifications can be customised and controlled through your system settings and roles.


Email Types

Below is a breakdown of the main email notifications available in Custr:


Visitor Notifications

  • Visitor Arrival

Sent to the visitor when they check in

  • Visitor Leaving

Sent to the visitor when they check out

  • Visitor Invite

Sent when a visitor is pre-registered


Host Notifications

  • Host Arrival

Sent to the host when their visitor checks in

  • Host Leaving

Sent when their visitor checks out

  • Host Invite

Sent when a visitor is invited


System Alerts

  • No Match Alert

Sent when a visitor checks in without a matching host


Education Notifications

  • Student Late Arrival

Sent when a student checks in late

  • Student Early Leave

Sent when a student leaves early


Care Notifications

  • Resident Leave

Sent when a resident checks out

  • Resident Return

Sent when a resident returns


Pre-Approved Visitors

  • Sent to visitors with pre-approved access details


Default vs Custom Emails

Custr supports two types of email configuration:

Default Emails

  • Standard emails used across your system

  • Apply to all categories unless overridden

  • Best for consistent, organisation-wide communication

Custom Emails

  • Specific to a visitor category

  • Allow tailored messaging for different visitor types

  • Override default emails when applied

How It Works

  1. Default emails are set in system settings

  2. Custom emails can be applied to categories

  3. If a custom email exists, it will be used

  4. Otherwise, the system uses the default email


Previewing and Editing Emails

To view or edit email templates:

  1. Go to Configuration β†’ Settings β†’ Emails

  2. Select the email you want to edit

  3. Make your changes

  4. Click Save

Preview Emails

You can preview emails before using them:

  • Click Preview

  • Optionally send a test email


Restore Default Emails

To reset email templates:

  1. Go to Configuration β†’ Settings β†’ Emails

  2. Click Restore Default Emails

  3. Confirm


Important Notes

  • Email notifications depend on:

    • Employee email addresses

    • Roles and permissions

    • Category configuration

  • If no custom email is set, the system uses the default email

  • Users must complete account setup to receive notifications
