Before & After School Student Check-In

Allow students to check in for before and after-school sessions, clubs, and activities using Custr Check-In.

Overview

The Before & After-School Student Check-In feature allows schools to track student attendance outside of normal school hours.

This can be used for a wide range of activities, including clubs, interventions, and supervised sessions.

Once enabled, students can check in using the Custr system, and their attendance will be visible on the dashboard and evacuation view.



How the day is structured (important)

The check-in experience automatically changes throughout the day based on the session times you configure.

The day is split into three parts:

1. Before school (before your first session end time)

  • Students will see and select from before school sessions

  • Example: breakfast club, early supervision, revision sessions

2. School day (between before and after school sessions)

  • Students will not see session options

  • Instead, they will only be able to:

    • Arrive Late

    • Leave Early

This ensures the system behaves as expected during normal school hours


3. After school (from your after-school session start time)

  • Students will see and select from after school sessions

  • Example: sports, clubs, detention, interventions



Example

If you set:

  • Before school session → 8:00am – 9:00am

  • After school session → 3:00pm – 5:00pm

Then:

  • Before 9:00am → Before school sessions available

  • 9:00am – 3:00pm → Late / Early only

  • After 3:00pm → After school sessions available



Important: App version requirement

To use Before & After School Student Check-In, your iPad must be running the latest version of the Custr app.

If the app is out of date:

  • Students will only see:

    • Arrive Late

    • Leave Early

  • Before and after school sessions will not appear on the device

If you only see “Arrive Late” and “Leave Early”, your app is likely out of date



Common Use Cases

Before School

  • Breakfast club

  • Morning supervision / early drop-off

  • Revision sessions

  • Intervention groups (e.g. maths or English support)

  • Study club

  • SEN support sessions


After Schools / Clubs

  • After school club

  • Homework club

  • Sports clubs (e.g. football, netball)

  • Drama or music rehearsals

  • STEM or coding clubs

  • Art clubs

  • Detention or behaviour support sessions

  • Sports fixtures (home and away)

  • Team training sessions

  • Tournament days

  • PE interventions

  • Travel check-in (e.g. boarding a bus for a match)


How it Works

  • Students check in using the Custr Check-In system

  • Attendance is recorded in real time

  • Students appear on:

  • The dashboard

  • The evacuation view

This ensures full visibility of who is on-site at any time.


Setting up Before & After School Check-in

To enable this feature:

  1. Go to Configuration > Settings

  2. Select Students and either Before School or After School

  3. Add a newsession

  4. Configure the session details

  5. Save your changes


Customising Check-In Questions

You can customise the questions students are asked during check-in.

  • Add your own questions

  • Set questions as:

  • Mandatory

  • Optional

This allows you to collect relevant information for each session.


Using with MIS Integration

If your school is integrated with an MIS:

  • Student names will automatically populate

  • This works the same as:

  • Late arrival

  • Leaving early

This provides a faster and more accurate check-in process.


Without MIS Integration

If you are not using MIS integration:

  • Students can manually enter their details during check-in


Where to View Attendance

Once students check in, their attendance can be viewed in:

  • The Custr Dashboard

  • The Evacuation View

This ensures staff always have visibility of students on-site.


Important Notes

  • Sessions must be created before students can check in

  • Ensure the correct session is selected on the device

  • MIS integration improves speed and accuracy but is not required
