Overview
PIN Check-In is an authentication option within Contactless Check-In.
It allows:
Employees
Sixth Form students
Residents
to check in and out using their own mobile device without downloading or signing in to the Custr Companion App.
PIN Check-In works through the existing Contactless Check-In experience.
Users first open Contactless Check-In by:
Scanning a Contactless QR Code
Scanning a QR Poster
Tapping a Puck
Scanning the QR Code printed on a Puck, where included
When PIN Check-In is enabled for the relevant user group, a Secure Check-In option is shown at the bottom of the Contactless Check-In page.
The user selects this option, enters their unique four-digit PIN and confirms their identity before completing the relevant check-in or check-out process.
PIN Check-In is particularly useful for:
Employees who do not have access to the Companion App
Employees who are not permitted to install the Companion App
Employees who prefer not to use the Companion App
Sixth Form students who do not use the Companion App
Residents who do not use the Companion App
Who Can Use PIN Check-In?
PIN Check-In is available for:

Visitors continue to use the standard visitor Contactless Check-In journey by entering their name.
Visitors do not use PIN Check-In.
How to Enable PIN Check-In
PIN Check-In is enabled at site level.
To configure it:
Navigate to Site.
Select Settings.
Open Features.
Locate Contactless secure check-in.
Enable the feature.
Select the user groups that should be allowed to use PIN Check-In.
Depending on the site configuration, available groups may include:
Employees
Sixth Form students
Residents
This allows organisations to control exactly who can use PIN Check-In.
For example, a school may choose to enable PIN Check-In for Sixth Form students but not employees.
A care organisation may choose to enable it for residents and employees.
What Happens When PIN Check-In Is Enabled?
When PIN Check-In is enabled for a user group, Custr automatically generates a unique four-digit PIN for eligible records.
For example:
Enabling Employees generates PINs for employees.
Enabling Sixth Form students generates PINs for Sixth Form student records.
Enabling Residents generates PINs for residents.
Any new eligible records added while the feature remains enabled will also receive a PIN automatically.
You do not need to manually create PINs for each user.
PIN Uniqueness
PINs are unique within a site.
Where an employee is linked correctly across multiple sites using the same email address, Custr can recognise the linked employee account and the same PIN can be used across those linked sites.
For example:
If an employee works across five sites and their employee records are linked correctly by email, they can use the same PIN at each site where PIN Check-In is enabled.
If the employee records are not linked, separate PINs may be generated.
Sixth Form student and resident records are managed within their relevant site records.
How Users Start PIN Check-In
PIN Check-In is accessed through Contactless Check-In.
The user first needs to open the Contactless Check-In page by either:
Scanning a site Contactless QR Code
Scanning a QR Poster
Tapping a Puck
Scanning the QR Code on a Puck, where included
The Contactless Check-In page initially displays the normal visitor name-search experience.
Where PIN Check-In is enabled, a Secure Check-In option appears at the bottom of the page.
The user selects Secure Check-In to begin PIN authentication.
If PIN Check-In is not enabled for the site, this option is not displayed.
Entering a PIN
After selecting Secure Check-In, the user is shown a numeric keypad.
They are asked to:
Enter your 4-digit PIN
The user enters their unique four-digit PIN.
Custr then searches for the associated employee, Sixth Form student or resident record.
Confirming Identity
After a valid PIN is entered, Custr displays the identity associated with that PIN.
The screen asks:
Is this you?
The user can then select:
Yes, that's me
No, that's not me
The screen also shows whether the user is currently completing a:
Check in
Check out
This is determined automatically from the user's current attendance status.
If the user selects No, that's not me, they are returned to the PIN entry screen so they can try again.
How Custr Determines Check-In or Check-Out
Users do not need to manually choose whether they are checking in or checking out.
Custr uses their current status.
If the user is currently:
Checked Out → Custr starts a check-in
Checked In → Custr starts a check-out
This behaviour is consistent across employees, Sixth Form students and residents.
Completing Check-In or Check-Out
Once the user confirms their identity, they continue through the normal check-in or check-out workflow for their user type.
Any configured questions are still displayed.
The user completes the required questions and Custr records the attendance action.
Once completed, a confirmation screen is displayed.
For example:
Welcome, Mike!
Check in completed successfully.
The user's status is then updated throughout Custr.
Questions and PIN Check-In
PIN Check-In uses the same configured questions as other check-in and check-out methods.
This means employees, Sixth Form students and residents will still see the questions configured for their user type.
For example, employee check-in questions shown through PIN Check-In are the same questions that would be displayed when checking in through:
Reception Kiosk
Staff QR Code
RFID Reader
Companion App
Dashboard
The same principle applies to Sixth Form student and resident questions.
Mandatory questions must still be completed before the check-in or check-out is recorded.
Photo Capture
Photo capture behaves differently depending on the user type.
Employees
Staff photo capture does not take place through PIN Check-In.
Any configured employee questions are still shown, but the photo capture step is skipped.
Sixth Form Students
Sixth Form student photo capture is not used as part of PIN Check-In.
Configured Sixth Form student questions are still displayed.
Residents
Residents do not have photos captured as part of their check-in or check-out process.
Configured resident questions are still displayed during PIN Check-In.
Visitor photo capture through Contactless Check-In is separate and is not affected by PIN Check-In.
Viewing an Employee PIN
Users with the appropriate Roles & Permissions can view and manage employee PINs.
For employee records, the user must have:
Access to the Employees Directory
Edit permission
From the employee record, the user's current Secure check-in PIN is displayed.
This allows authorised users to provide the employee with their PIN if required.
PINs can also be included in reporting where appropriate.
Sending an Employee Their QR Code and PIN
Employees can be sent their personal QR Code and PIN together.
From the employee actions menu, select:
Send QR Code and Secure PIN
The email includes:
The employee's personal QR Code
Their four-digit Check-In PIN
The employee can keep this information for future check-ins.
This email option is available for employees.
Sixth Form student and resident PINs are not currently distributed using this email option.
Regenerating an Employee PIN
If required, an employee PIN can be regenerated.
To regenerate the PIN:
Open the employee record.
Open the actions menu.
Select Regenerate Secure PIN.
A new PIN is generated immediately.
The previous PIN stops working as soon as the new PIN is created.
There is currently no additional confirmation step before the PIN is regenerated, so ensure the correct employee has been selected before using this option.
The new PIN should then be provided to the employee.
What If Someone Forgets Their PIN?
If an employee forgets their PIN, an authorised user with the appropriate Employees
Directory Edit permission can:
View the existing PIN on the employee record
Provide the PIN to the employee
Regenerate a new PIN if required
Regeneration is not required simply because somebody has forgotten their PIN.
If a new PIN is generated, the old PIN becomes invalid immediately.
For Sixth Form students and residents, the PIN can be managed through the relevant record and site administration process.
Disabling PIN Check-In
PIN Check-In can be disabled for individual user groups.
To disable it:
Navigate to Site.
Select Settings.
Open Features.
Locate Contactless secure check-in.
Disable the relevant user group or turn off the feature completely.
When PIN Check-In is disabled for a group:
The Secure Check-In option is removed from Contactless Check-In
Users in that group can no longer authenticate using a PIN
Existing PINs for that group are removed
If the feature is enabled again later, Custr generates new PINs.
The previous PINs will no longer be valid.
Employees Across Multiple Sites
Employees may work across more than one Custr site.
Where employee records are linked correctly using the same email address, PIN Check-In can operate across those linked records.
This means an employee can use the same PIN across multiple sites where:
The employee records are linked
PIN Check-In is enabled
The employee has access to those sites
If the employee records are not linked, the PINs may be different.
PIN Check-In vs Companion App
Employees can use either the Companion App or PIN Check-In, depending on the organisation's configuration.

PIN Check-In is therefore useful where a user needs a mobile check-in option but does not use the Companion App.
PIN Check-In vs Personal QR Codes
PIN Check-In is different from personal QR Codes.
PIN Check-In
The user:
Scans a site Contactless QR Code or taps a Puck.
Opens Contactless Check-In.
Selects Secure Check-In.
Enters their PIN.
The Contactless QR Code or Puck belongs to the site or physical location.
Employee QR Code
An Employee QR Code belongs to an individual employee.
The employee presents their personal QR Code to the Reception Kiosk camera.
The Reception Kiosk identifies the employee directly from the personal QR Code.
Employee QR Codes and PIN Check-In are separate ways of identifying the employee.
PIN Check-In vs RFID
PIN Check-In does not use RFID cards or fobs.
Users access PIN Check-In using their mobile phone.
An RFID Reader performs a different function and must be connected to the Reception Kiosk.

A Puck also cannot read an RFID card or fob.
PIN Check-In and Pucks
A Puck is a physical Contactless Check-In point.
Users tap the Puck with their mobile phone.
The Puck opens the same Contactless Check-In experience as a site QR Code.
Where PIN Check-In is enabled, the user can then select Secure Check-In and enter their PIN.
The Puck itself does not store the user's PIN and does not identify the person.
It simply opens the Contactless Check-In location.

Reporting
PINs can be included in reporting where the user has the appropriate access.
Attendance completed through PIN Check-In is recorded in Custr in the same way as attendance completed through other supported methods.
Depending on the user type, this may be available within:
Dashboard
History
Reports
Evacuation View
Live on-site totals
Troubleshooting
Secure Check-In Does Not Appear
If the Secure Check-In option is not visible at the bottom of Contactless Check-In, check:
PIN Check-In is enabled for the site
The relevant user group is enabled
You are using the correct Contactless QR Code or Puck
The site settings have been saved correctly
Navigate to:
Site → Settings → Features → Contactless secure check-in
and confirm the relevant options are enabled.
The PIN Does Not Work
Check:
The correct four-digit PIN is being entered
PIN Check-In is still enabled for the user's group
The user record is active
A new PIN has not recently been generated
The user is checking in at the correct site
If necessary, view the user's current PIN or regenerate it.
The Wrong Person Is Displayed
If the identity confirmation screen displays the wrong person:
Select No, that's not me.
Return to the PIN keypad.
Enter the PIN again.
Because PINs are unique within the site, the correct PIN should identify the relevant record.
An Old PIN Has Stopped Working
This may happen if:
The PIN has been regenerated
PIN Check-In was disabled and enabled again
The user record was changed or recreated
Check the user's current record for the latest PIN.
An Employee Has Different PINs at Different Sites
Check whether the employee records are linked using the same email address.
Linked employee records can use the same PIN across sites.
If the records are not linked, separate PINs may have been generated.
Important Notes
PIN Check-In runs through Contactless Check-In.
It is available for employees, Sixth Form students and residents.
Visitors do not use PIN Check-In.
PIN Check-In is enabled at site level.
Individual user groups can be enabled or disabled separately.
PINs are generated automatically when the feature is enabled.
New eligible records automatically receive a PIN while the feature remains enabled.
PINs are unique within a site.
Linked employee records can use the same PIN across multiple sites.
Users open PIN Check-In by scanning a Contactless QR Code or tapping a Puck.
The Secure Check-In option only appears when the feature is enabled.
Custr automatically determines whether the user is checking in or checking out.
Employee, Sixth Form student and resident questions still apply.
Staff photo capture does not take place through PIN Check-In.
Sixth Form students do not use the Companion App.
Residents do not use the Companion App.
Employee PINs can be viewed and managed by users with Employees Directory access and Edit permission.
Employee QR Codes and PINs can be emailed together.
Regenerating a PIN invalidates the previous PIN immediately.
Disabling PIN Check-In removes existing PINs for the affected group.
Re-enabling PIN Check-In generates new PINs.
PIN Check-In does not use RFID cards or fobs.
Pucks open Contactless Check-In but do not identify the user themselves.
